App Netlinks: an entire company running on its own software, with AI in every corner

Before selling software to others, we built our own. The Netlinks Group platform brings together WhatsApp support, an AI assistant that answers clients, finance that issues invoices and reconciles the bank by itself, task management and an AI content factory.

The starting point

Netlinks is an SEO and GEO consultancy with dozens of clients, each with its own WhatsApp group, monthly deliverables, invoices and tax receipts. Until 2026 this lived in an old PHP system, in spreadsheets and on each team member's phone.

OnWeb rebuilt everything as an in-house platform, in modules: App Netlinks (client operations) and the Netlinks Group app (support, finance and management for every brand in the group). The same login works in both.

MSN: clients' WhatsApp inside the system

The MSN inbox brings together the team's conversations and the WhatsApp groups of every client, across all brands. What the client writes in the group shows up in MSN; when someone on the team replies from MSN, the message goes out on WhatsApp signed with the replier's name. Client voice notes arrive transcribed.

Each group is linked to a client, a brand and a team. From the same screen the team adds and removes group members and generates an invite link when WhatsApp blocks a direct add. The same MSN bubble appears in every app of the group, so nobody needs to pick up their phone to answer.

Alfred: the AI assistant that serves clients and organizes the team

Alfred is the in-house AI. In each client group it can be off, suggesting a reply for the team to approve or answering on its own, always in the voice of that group's brand. It checks the client's history, looks at the team calendar before proposing a meeting time and, when the client sends a voice note, can reply by voice too.

Inside the team, Alfred runs the daily management: at 8 a.m. every business day it sends each person what is overdue, what is due and their top five priorities, and records what the person replies. "Done", "push to tomorrow" or a published link become task updates, without opening the system.

  • Three modes per group: off, suggest or answer on its own.
  • Client context: history, deliverables and team calendar before answering.
  • Voice: incoming audio transcribed and spoken replies when it makes sense.
  • Daily management: a daily summary per person and task updates through conversation.

Finance that issues invoices and reads the bank by itself

The Netlinks Group finance module handles recurring billing for every brand. For each cycle it generates the PDF invoice, registers the bank slip and Pix payment at Bradesco and issues the service tax invoice (NFS-e) through Brazil's National Issuer, signing with the digital certificate of the right issuing company.

The Bradesco account balance is read through the bank's API every 30 minutes and shown at the top of the panel, next to what the system expected to have in cash. Twice a day the bank statement is reconciled with the ledger: payments match payables by name, amount and date, and new bank fees are entered as transactions without anyone typing.

Dunning and cash forecast

Open invoices enter the dunning schedule: a reminder two days before the due date, on the day and after 3, 7 and 15 days. The system picks the right stage for each invoice, never repeats a reminder and keeps the history; the team reviews the preview and sends. The Cash screen projects the next 30 days with daily inflows and outflows, and the APIs screen shows how much each AI provider costs this month.

SEO and content operations

In App Netlinks each client has its own space and login. The content factory produces AI-assisted articles in stages, images are generated and approved on the platform, and reports show SEO and the brand's presence in ChatGPT, Claude, Gemini and Perplexity. Support works as a board: the client opens a ticket, the team drags it across columns and everyone gets email notifications.

Frequently asked questions

Can clients' WhatsApp be integrated into a company system?

Yes. Conversations flow into the system, the team replies from it and the answer goes out on WhatsApp with the replier's name. See WhatsApp chatbot.

Can a system issue service tax invoices on its own?

Yes. In Brazil, NFS-e issuance through the National Issuer is done via API with the company's digital certificate. At the Netlinks Group it goes out with each cycle's invoice. See process automation.

How does the bank balance appear in the system?

Through the bank's statement API, authenticated with a certificate. The system reads the balance and transactions at scheduled times and reconciles them with what was expected. See systems integration.
