AI process automation

Process automation with AI: repetitive work that runs on its own

Issuing invoices, checking statements, copying orders between systems, translating records, chasing late payments. OnWeb automates these processes end to end, with AI where there is text, documents or decisions, and with the team approving what needs a human eye.

What can be automated

A good automation candidate has three traits: it happens often, it follows a rule you can explain and today it depends on someone copying, checking or typing. With AI, processes involving free text, documents and images join the list.

Finance

invoices, bank slips and instant payments, tax invoicing, bank reconciliation and dunning.

Sales

website or chat leads entering the CRM, calculated quotes and scheduled follow-ups.

Records

translated products, generated descriptions, processed images and redirects created when a URL changes.

Documents

bills, invoices and contracts read by AI and turned into data.

Operations

task distribution, daily reminders and reports assembled on their own.

Customer service

answers, bookings and routing over WhatsApp and the website.

Automations we built that are running

  • Tax invoices and billing: at Netlinks Group, each cycle generates the invoice, registers the bank slip and Pix at the bank and issues the Brazilian service tax invoice through the National Issuer.
  • Bank reconciliation: the Bradesco statement is read through the API twice a day and matched to the ledger by name, amount and date; new fees are entered automatically.
  • Translation on save: at Safetline, a product changed in Portuguese is translated into English and Spanish only where it changed.
  • Complete leads: at Luz no Bolso, the lead only goes to the solar farm with the bill and ID attached.
  • Quotes without duplicates: at Master Milhas, a repeated quote reuses the open card instead of creating another.
  • Automatic 301s: changing a product URL creates the redirect and fixes the menu links.

RPA, integration or AI?

RPA tools mimic clicks on a screen and break when the screen changes. OnWeb prefers to integrate through the front door: bank APIs, tax authority APIs, databases, webhooks. It is more stable, more secure and cheaper to maintain.

AI comes in where rules are not enough: reading a document that arrives in different formats, understanding a free-form message, classifying a request, writing text. The rest is well-built systems integration.

Automation with control

Automating does not mean losing sight. Every OnWeb automation has:

  • Preview before acting: when impact is high, the system prepares and the team checks before sending, as in dunning.
  • Idempotency: running twice does not duplicate invoices, charges or records.
  • Logging: every run is recorded with what it did and why.
  • Failure alerts: if a bank or API outage blocks a routine, someone is notified.
  • On/off switch: each automation has its own toggle, no deploy needed.

How we automate

  1. 01

    Observe the process

who does it, how often and where errors happen.

  2. 02

    Design the rule

the happy path, the exceptions and what goes to a human.

  3. 03

    Integrate at the source

APIs and databases, with secure credentials.

  4. 04

    Run in parallel

the automation runs alongside the manual process until it proves accurate.

  5. 05

    Switch off manual

the automation takes over and the team just monitors.

Frequently asked questions

Can tax invoice issuance be automated?

Yes. In Brazil, the service tax invoice (NFS-e) can be issued via API through the National Issuer, with the company's digital certificate, together with the invoice and payment. That is what runs at the Netlinks Group.

Can bank statements be reconciled automatically?

Yes, with banks that offer a statement API, such as Bradesco. The system reads transactions at scheduled times and matches them with what was expected.

Is AI automation safe for financial processes?

It is when AI stays where interpretation is needed and rules stay in code. In money processes, OnWeb uses previews and human approval before any sensitive send.

How long does it take to automate a process?

A well-defined process usually goes to production in a few weeks, first running in parallel with the manual one.
